ROLE SUMMARY
Reporting to the Associate Academic Dean(s), the Administration Technician performs various technical level administrative tasks of an administrative nature related to Regular and Continuing Education.

The main and usual role of this person is to carry out the selection, preparation and verification of data, following internal research. This person coordinates the application of certain procedures and is assigned to complex tasks in specialized areas.
DUTIES
WORKLOADS AND ALLOCATION OF TEACHERS
  • Participates in the calculations relating to the workload and allocation of teaching staff.
  • Updates the computerized course grids in the pedagogical system and in SOBEC.
  • Prepares the simulation of the impact on resources during changes to program grids.
  • Provides technical support to Pedagogical Counselors.
  • Collects, analyzes and prepares data or information for reporting and statistics.
  • Collects data and updates the database and produces reports.
  • Performs the classification of documents inherent in the work.
TIMETABLING
  • Collects and enters Teacher's Personal Timetabling requests into the system.
  • Collects and enters Courses Timetabling requirements into the system.
  • Collects and enters Final Exams parameters into the system.
  • Creates, updates and modifies Continuing Education Program Flows.
INTERNSHIPS/STAGES 
  • Ensures that all Stages Contracts are signed and renewed as appropriately.
  • Verifies compliance with the College's Internship Fees Policy.
  • Participates in the forecasting of expenses and makes the reimbursement to students as well as professors internship.
  • Manages applications for university internships in the College.
OTHER
  • Performs the classification of documents inherent in the work.
  • Participates in the download of data between the various computer applications for the use of the service.
  • May be called upon to initiate less experienced technicians as well as to coordinate the work of other support employees involved in the implementation of programs or technical operations for which they are responsible for.
  • Inform the students on all procedures within Academic Services and if need be, provide support with these processes.
  • If necessary, performs any other related duties.





MINIMUM QUALIFICATIONS REQUIRED
  • Diploma of collegial studies (DEC) in Administration, or a diploma or attestation of studies whose equivalence is recognized by the competent authority.
  • Must possess very good communication skills in both English and in French (oral, written and comprehension).
  • Experience with Microsoft Office is essential.
